Quarterly Reflections: 360° Feedback

The 360 feedback tool in Moral Fabric is self-managed, automated, AI-enhanced, and role-aware.

The process

Preparation - by the Learning & Development role:

  • Coach pairing: You are paired with someone not in your main team to be your coach. This can mean you are their coach too, and can be changed on request. ⟶ How to in Moral Fabric
  • Qualities check: Check if your organisation has qualities to include in the 360° Feedback form. And if yes, if these are still uptodate in Moral Fabric. ⟶ How to in Moral Fabric
Check our Helpdesk to see how you perform these 2 steps in the Moral Fabric app.

Execution - by the coachee:

  1. Request: you select 1-5 colleagues to give you feedback.
  2. Collect: feedbackers receive Asana tasks with a link to the form to fill out.
  3. Review: once responses arrive, AI generates a summary of themes and insights.
  4. Reflect: you meet with your coach to discuss and summarize the feedback.
  5. Share: if you want, you can also share your reflection with others like your team lead.

Step 1: Request feedback

  1. Go to app.moralfabric.org/feedback/request.
  2. Select feedbackers: Choose 3-5 colleagues you've worked closely with.
  3. Add a custom question (optional): Ask something specific to your development goals.Example: "How can I improve my communication in team meetings?"
  4. Set a deadline: Default is 10 days, adjust as needed.
  5. Click Request Feedback.
What happens next:
  • Each feedbacker receives an Asana task with the deadline.
  • Each feedbacker gets an email with a unique link to the feedback form.
  • Your coach receives an Asana task to help you process the feedback once it's complete.

Step 2: Feedbackers fill out the form

Feedbackers receive a simple form with 6 questions (plus your custom question if any):
#QuestionRequired
1What do you like most in your collaboration?Yes
2What could improve in your collaboration?Yes
3In which role(s) do you see them most engaged and why?Yes
4In which role(s) could they be more engaged and why?Yes
5Any other thoughts about their performance? No
6Pick 1+ principles : how do they embody it, where can they improve? No
7Your custom question (if any)No
For questions 3 and 4, feedbackers can select from a dropdown of your actual roles, making the feedback more specific and actionable. Time to complete: About 5-10 minutes.
For feedbackers: giving good 360° feedback:🗣️ Be specific. Instead of "you're a good communicator", try: "I appreciated how you summarized the project status clearly in Monday's meeting."🔄 Be balanced. Both appreciation and suggestions for improvement are valuable.💬 Consider meeting in person. If you have substantial feedback, consider scheduling a 15-30 min chat with the person before they've had their reflection session.💡 Not sure what to say? All questions after #4 are optional. Even a few sentences on the required questions is valuable.🙅 Can't give useful feedback? You can skip it. Open the form and click "Skip this feedback", then pick a reason (haven't worked closely enough, they're too new to judge, no time right now, or your own). No need to fill anything in.More tips: Giving and receiving effective feedback

Step 3: Review your feedback

Once feedbackers start responding, you can view their feedback at any time:
  1. Go to app.moralfabric.org/feedback/requests
  2. Click on your feedback request to see:
  • Status: How many people have responded vs. pending.
  • Individual responses: Expand each person's feedback to read it.
  • AI Summary: Generate insights that identify common themes.

AI Summary

Click Generate Summary once you have responses. The AI will analyze all feedback and provide:
  • Common Themes: Patterns that appear across multiple responses.
  • Strengths: What people consistently appreciate about working with you.
  • Areas for Growth: Opportunities for development.
  • Coaching Questions: Prompts to discuss with your coach.
You can regenerate the summary as more responses come in. Which AI writes it, and how to ask Claude for a second version: The AI summary.

Step 4: Reflect with your Coach

How does the Coach <> Coachee matching work?
  1. Initially: Claude: match people with someone not in their team
  2. Then: coach connections are sorted by “is not in same team” + “has least amount of coachees”
  3. Also: Quarterly Reflection Facilitation role tries to pair a bit on seniority as well, assuming that people with less work experience are less comfortable coaching someone with a lot more. This is quite subjective, do let me know if you’d like to see it any other way
  4. Also: we've changed a few coaches already on request, in all cases because the coach was too busy. That’s totally OK, but let’s try to spread the joy of coaching cuz it’s very important AND as coach you also learn a lot.
After all feedback is collected, meet with your coach to:
  1. Review the AI summary together.
  2. Discuss key themes and what resonates (or surprises) you.
  3. Identify 2-3 action items for the next quarter.
  4. Record your reflections in the app (visible to you and your coach).
Scheduling tip: When you request feedback, the app offers to create a calendar event with your coach for the day after the deadline.
Tips for coached how to prepare and hold this session, you can find here: For Coaches: facilitating a Reflection Session

Step 5: Share your feedback

By default, only you and your coach can see your feedback. You can:
  • Share with others (e.g., team lead) via the Share button
  • Change your coach if needed
  • View who has access in the feedback view
